SUMMARY OF DUTIES
The Vice President of Facilities (VPF) is a senior leader responsible for the strategic planning, oversight, and continuous improvement of all facility operations across the agency. This role ensures that all physical environments are safe, compliant, efficient, and aligned with the organization's mission and growth objectives.
The VPF provides leadership in facilities management, capital planning, regulatory compliance, and infrastructure development. The position serves as a key liaison between executive leadership, program operations, landlords, and external vendors, and plays a critical role in long-term space planning, risk management, and operational excellence.
LEADERSHIP RESPONSIBILITIES
- In addition to managing day-to-day operations, the role entails driving the professional growth and success of direct reports through continuous coaching, actionable feedback, and targeted development initiatives. This role will also foster a culture of accountability, collaboration, and high performance, ensuring that all direct reports are equipped to excel in their roles and contribute meaningfully to the organization's long-term success that align with both team and organizational goals.
POSITION RESPONSIBILITIES
Strategic Leadership and Planning
- Develop and implement a comprehensive facilities strategy aligned with organizational goals and growth.
- Lead long-term capital planning, including renovations, expansions, and site acquisitions.
- Advise executive leadership on facility-related risks, opportunities, and investments.
- Establish and monitor key performance indicators (KPIs) for facilities operations.
- Promote cross-department collaboration and strong internal customer service.
Facilities Operations Oversight
- Provide executive oversight of maintenance, repair, and daily operations across all Agency sites.
- Ensure timely and effective resolution of facility-related issues impacting program operations.
- Oversee preventive maintenance programs to extend asset life and reduce emergency repairs.
- Standardize facilities processes and protocols across multiple locations.
Regulatory Compliance & Safety
- Ensure all facilities comply with applicable federal, state, and local regulations (e.g., DOH, OASAS, OSHA, fire safety, ADA).
- Oversee inspections, audits, and corrective action plans related to facility compliance.
- Partner with compliance, safety, and program leadership to maintain safe, therapeutic environments.
Project & Construction Management
- Provide executive oversight of capital projects, including renovations, relocations, and new site development, ensuring projects are completed on time, within budget, and in alignment with organizational standards.
- Collaborate with architects, engineers, and contractors throughout project lifecycles.
- Lead space planning initiatives to support program needs and organizational growth and collaborate with leadership to optimize utilization of existing facilities.
- Support program expansions and relocations with strategic facility solutions.
Vendor & Contract Management
- Oversee relationships with landlords, contractors, and service providers.
- Negotiate and manage facility-related contracts to ensure quality and cost-effectiveness.
- Monitor vendor performance and ensure adherence to service level expectations.
Financial Oversight
- Develop and manage facility operating and capital budgets.
- Monitor expenditures and identify opportunities for cost efficiency.
- Provide financial analysis and reporting related to facilities operations and capital investments.
QUALIFICATIONS
- Bachelor's degree in Facilities Management, Engineering, Business Administration, or related field is preferred.
- Minimum of 8-10 years of progressive experience in facilities management, with at least 3-5 years being in a senior leadership role.
- Strong strategic thinking and leadership capabilities.
- Extensive knowledge of facilities management, building systems, project management, and regulatory requirements with demonstrated experience managing multi-site operations and capital projects.
- Experience in healthcare, behavioral health, or other highly regulated environments strongly preferred.
- Strong financial acumen, including budgeting and cost control.
- Excellent communication and interpersonal skills, with the ability to influence at all levels.
- High level of professionalism, judgment, and problem-solving ability.
- Must be physically able to perform duties involving lifting, bending, standing, (at least 15 pounds) as needed.
