Assistant Controller

FLSA Status: Exempt

Salary Range: $90,000.00-$94,000.00. Personalized salary reflecting your related experience and academic/credentialed background.

Location: 899 Main Street, Buffalo NY.


SUMMARY OF DUTIES

The Assistant Controller is responsible for supporting the accuracy, integrity, and compliance of the organization's financial operations. Under the direction of the Controller, this position oversees day to day accounting activities, ensures adherence to Generally Accepted Accounting Principles (GAAP) and regulatory reporting standards, and contributes to the preparation of financial statements, audits, and annual budgets. The Assistant Controller maintains and strengthens internal control systems, manages grant and restricted fund accounting, and provides analytical and operational support to the Controller and Chief Financial Officer in advancing the organization's financial and strategic objectives.

LEADERSHIP RESPONSIBILITIES

  • This position holds overarching responsibility for the strategic leadership and operational oversight of the Accounting teams as assigned by the Controller & CFO. In addition to managing day-to-day operations, the role entails driving the professional growth and success of direct reports through continuous coaching, actionable feedback, and targeted development initiatives. This role will also foster a culture of accountability, collaboration, and high performance, ensuring that all direct reports are equipped to excel in their roles and contribute meaningfully to the organization's long-term success that align with both team and organizational goals.

POSITION RESPONSIBILITIES

Accounting and Financial Management

  • Oversee and manage daily accounting operations including general ledger, accounts payable, accounts receivable, and bank reconciliations.
  • Ensure compliance with GAAP, funder requirements, and organizational policies in all financial transactions and reporting.
  • Assist in the preparation of monthly, quarterly, and annual financial statements, including supporting schedules and variance analyses.
  • Maintain chart of accounts and ensure accurate coding of revenues and expenses for financial reporting.
  • Prepare/analyze monthly financial statements and internal management reports.

Audit & Compliance

  • Support the Controller in coordinating external audits, grant audits, and regulatory reviews, ensuring timely and accurate submission of all requested materials.
  • Assist in system implementations, process improvements, and documentation of accounting policies, procedures and instructions.
  • Ensure compliance with internal controls and organizational financial policies.

Budgeting & Forecasting

  • Support annual budget development and periodic reforecasts in collaboration with department heads.
  • Prepare budget vs. actual reports and assist with variance analysis.
  • Provide financial support for program planning and strategic initiatives.

Team Support & Leadership

  • Serve as a backup to the Controller and step into leadership responsibilities as needed.
  • Support accounting staff, fostering accuracy, accountability, and professional growth within the team.
  • Collaborate across departments to ensure transparency and understanding of financial processes.
  • Completes all trainings required by the agency.
  • Performs all other duties as assigned.

QUALIFICATIONS

  • Bachelor's degree in accounting, Finance, or related field required.
  • 5+ years of progressive accounting experience, including nonprofit or fund accounting.
  • Familiarity with GAAP, particularly for nonprofits (FASB standards, ASC 958, etc.).
  • Experience with accounting software (e.g., QuickBooks, MIP Fund Accounting, Sage Intacct, or similar).
  • Experience with not-for-profit accounting, deficit funding reporting, federal grant compliance, accepted accounting practices and budget development/monitoring.
  • Experience with computerized accounting and data management systems.
  • Experience with financial management and controls.
  • Ability to comprehend program goals, objectives, and operations, and to relate these to administrative analysis and to manage multiple deliverables simultaneously.
  • Ability to build & maintain effective relationships at all levels.
  • Excellent communication skills using all methods with ability to express ideas clearly and concisely.
  • Strong attention to detail and analytical skills
  • Excellent organizational/time management skills.
  • Must be able to lift up to 20 pounds, bend, and use a step stool for filing.
