Summary of Duties
The Accounting Specialist - Grants Management will support the Director of Financial Analysis, Planning, and Grants in managing all aspects of grant financial administration, including reporting, compliance, invoicing, and reconciliation. This position ensures the accuracy and timeliness of grant-related financial transactions, assists in preparing required reports and vouchers for funders, and maintains records to ensure compliance with federal, state, and private grant regulations. The role will work closely with the finance team, program staff, and grants management to meet all reporting requirements, ensure accurate recordkeeping, and optimize available resources. This role will champion working with payroll to ensure that payroll allocations are processed timely and in accordance with CFR methodology.
Position Responsibilities
- Prepare, review, and submit accurate monthly, quarterly, and annual grant financial reports and expense vouchers.
- Collaborate with payroll to implement and maintain a robust payroll allocation tracking system.
- Assist with grant invoices, vouchers, and compliance submissions (OMH, OASAS, HUD, SAMHSA, NYSED, ECDMH).
- Maintain grant financial records in compliance with audit and regulatory requirements.
- Assist with CFR and Single Audit preparation.
- Maintain complete filing system of all voucher back-up documentation.
- Assist in maintaining tracking system of all grant due dates, invoice completion dates and related data.
- Support budget development, forecasting, and variance analysis.
- Coordinate with the Grants team to align financial and programmatic reporting.
- Provide timely and professional communication with funders, auditors, and internal departments.
- Complete all required trainings required by the agency.
- Performs all other duties as assigned.
Qualifications
- Minimum of Associate's degree in Accounting, Finance, or related field (or equivalent experience).
- 2-4 years of accounting experience, preferably in a nonprofit or grant-funded environment.
- Knowledge of payroll allocation is preferred.
- Familiarity with governmental and foundation grant regulations (e.g., OMH, OASAS, HUD) preferred.
- Strong organizational skills with a high level of attention to detail and the ability to meet strict deadlines.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, etc.) preferred.
- Proficiency in accounting and grant management systems.
- Excellent written and verbal communication skills.
- Ability to work independently anatomically.
- Ability to collaborate effectively with internal teams and external funding agencies.
